WhatsApp outreach in your CRM: campaigns, a shared inbox and opt-outs on your own number

Run WhatsApp template campaigns, reply from a shared team inbox inside the 24-hour window, and handle opt-outs automatically, all from the contacts and deals already in NerdCRM, on your own WhatsApp Business number.

NerdCRM connects to the official Meta WhatsApp Cloud API on your own business number. You can send approved template campaigns to any tagged group of contacts, reply from a shared inbox while the 24-hour customer-service window is open, and every opt-out (in English or Bangla) is suppressed automatically. It is included in the $4 per user per month plan; Meta bills your WhatsApp Business account directly and NerdCRM adds no per-message fee.

In Bangladesh and much of South Asia, the Middle East and Africa, leads don’t answer cold email. They answer WhatsApp. Without a CRM that handles it, customer chats live on reps’ personal phones and nobody knows who followed up with whom.

NerdCRM puts WhatsApp campaigns, replies and opt-outs next to the contacts and deals you already manage.

What you get

  • Template campaigns to any tag. Pick a contact tag such as dhaka-leads or lead:qualified, pick an approved template, map its variables to contact fields and send. Before launch the builder shows how many contacts will be enrolled and how many are skipped for having no WhatsApp number or being suppressed.
  • Multi-step sequences. A campaign can have several steps with a delay in days between them. When someone replies, their remaining steps stop.
  • A shared inbox. Replies are matched to the contact by phone number and the owner is notified. The inbox shows the time left in each 24-hour window.
  • Direct messages from a deal or contact. Message the person from their page, or jump to their thread in the inbox.
  • Conversation to deal in one click. When a chat turns into real interest, convert it into a pipeline deal that stays linked to the conversation.
  • Automatic opt-outs, in Bangla too. stop, unsubscribe, cancel, বন্ধ, আনসাবস্ক্রাইব and বাতিল add the number to your suppression list.

Pacing that protects your number

A new number that suddenly sends hundreds of messages looks like spam, so outreach paces itself:

  • Per sender: business-hours send window in your time zone, a daily cap, a warm-up ramp that raises the cap gradually, and a minimum interval between sends
  • Per campaign: a throttle in messages per minute, capped at 60
  • Cooldown: a number messaged recently is not enrolled again for 30 days by default
  • Self-pausing: if Meta returns a tier-limit or rate-limit error, the sender pauses itself until you look into it
  • Test mode: each sender can log what it would have sent without calling WhatsApp at all

Local Bangladeshi numbers saved as 01XXXXXXXXX are normalized to the international format before sending, so you don’t need to clean every contact first.

Works with the rest of NerdCRM

WhatsApp sits on the same contact list as call recording and AI Call Analysis. In live mode the AI tags each contact lead:qualified, lead:nurture and so on, so you can send a different WhatsApp follow-up to each group the same day.

Pricing

Included in the $4 per user per month plan. The free plan has 100 outbound messages to try it, one-time. Meta charges your WhatsApp Business account for conversations at its own rates; NerdCRM adds no per-message fee.

Setup

You need a Meta Business account, a WhatsApp Business Account and a phone number that is not registered to the WhatsApp app. Most of the setup time is waiting for Meta to verify the number and approve templates. Follow how to set up WhatsApp outreach.

Frequently asked questions

Is this the official WhatsApp Business API?

Yes. NerdCRM uses the Meta WhatsApp Cloud API. Each organization connects its own Meta app, WhatsApp Business Account and phone number. There is no shared NerdCRM sender and no unofficial WhatsApp Web automation, so your number is not put at risk by other teams.

What does WhatsApp outreach cost?

It is included in the $4 per user per month plan. The free plan includes 100 outbound WhatsApp messages, one-time, to try it. Meta bills your WhatsApp Business account for conversations at Meta's own rates; NerdCRM adds no per-message fee on top.

What is the 24-hour window?

WhatsApp only lets a business start a conversation with a template Meta has approved. When the contact replies, a 24-hour customer-service window opens and you can send normal free-form messages. When it closes, you are back to templates. The NerdCRM inbox shows how much time is left on each conversation.

Which template types are supported?

Text templates, templates with an image, video or document header, URL, quick-reply, phone and copy-code buttons, and carousel templates with several cards. You can write simple text templates in NerdCRM and submit them to Meta, or build them in Meta Business Manager and sync them in with one click.

How are opt-outs handled?

Anyone who replies with an opt-out keyword is added to your suppression list and left out of every future campaign. The keywords are stop, unsubscribe and cancel in English, and বন্ধ, আনসাবস্ক্রাইব and বাতিল in Bangla, matched as whole words.

Can each rep see only their own conversations?

Yes. Admins see every conversation in the organization. Everyone else sees only conversations for contacts they own. If a contact is reassigned, the conversation follows the new owner.

Can I use the number I already use in the WhatsApp Business app?

Not at the same time. Meta does not allow a number to be registered to the WhatsApp or WhatsApp Business app and the Cloud API together. Use a new number, or remove the number from the app first.
